What you need to know

A charity you’ve supported is using Gift Aid Boost to recover Gift Aid on your donations. Here’s how your data is being used and what your rights are.

Who is involved?

  • Your charity is the “data controller” — they decide what data to process
  • Gift Aid Boost is the “data processor” — we handle it on the charity’s behalf
  • HMRC receives the Gift Aid claim (this is the same process charities have always used — we make it more efficient)

What data do we hold about you?

  • Your name (title, first name, last name)
  • Your address (or part of it)
  • Your email address (if the charity provided it)
  • Your donation amounts and dates
  • Whether you’ve signed a Gift Aid declaration

Your charity provided this data to us. We hold it solely to help them recover Gift Aid on your behalf.

If the charity’s records were incomplete, we may have verified or completed your address using publicly available UK sources (address lookup services and the electoral roll). This helps ensure the Gift Aid claim is accurate and accepted by HMRC.

Why do we process your data?

  • To recover Gift Aid on your donations — money that goes directly back to the charity you support
  • To confirm your Gift Aid declaration (the email you received)
  • To generate HMRC-compliant claim files

How long do we keep it?

  • 6 years from the last Gift Aid claim (HMRC requires this for audits)
  • Original uploaded files are deleted after 14 days
  • After the retention period, your data is permanently deleted

Who else sees your data?

  • HMRC — via the charity’s Gift Aid claim (this happens with or without us)
  • Our database provider (EU-based) — stores it securely
  • Our email provider — delivers the declaration email to you
  • UK-based address verification services — if the charity’s records needed completing

We never sell your data. We never use it for marketing. We never share it with anyone not listed here.

Your rights

  • Ask the charity for a copy of your data
  • Ask the charity to correct inaccurate data
  • Ask the charity to delete your data (subject to HMRC retention requirements)
  • Object to the processing
  • Complain to the ICO (ico.org.uk)

Because the charity controls your data, please contact them directly. We will support them in fulfilling your request promptly.

If you don’t want to receive further emails about Gift Aid, click the unsubscribe link in any email we send. We’ll stop contacting you immediately — even if the charity uploads new data in the future.
